About the Role:
We’re looking for a Executive Assistant on the Research team to help us expand what’s possible for patients with serious diseases. Reporting to the Vice President of Research for New Jersey and New Hampshire, you’ll provide daily and ongoing administrative support.What You'll Do:
In this role, you’ll have the opportunity to be responsible for managing calendars, scheduling meetings, making travel arrangements, preparing expense reports, taking notes, and summarizing meetings for the VP of Research for NJ and NH and the executive leadership team. You’ll also:
Serve as an administrator to appropriate Team Channels and SharePoint file systems, uploading files, keeping them up to date, and keeping internal stakeholders informed
As needed, supporting lab and operations managers with purchase orders, statements of work, and invoice tracking
Responsible for being proactive in identifying needs, gaps, and proposing administrative process and operations improvements
Accountable for attention to detail and timely follow-up on assigned tasks
Responsible for coordinating schedules and agendas for executive travel to NJ and NH Research and Development Labs
Supporting department projects and initiatives
Developing, formatting, proofreading, and upkeep of general Excel files, Word documents, and PowerPoint presentations
Coordination with Legal and Compliance on managing Expert Service Agreements and any other Regulatory Affairs contracts
Responsible for coordinating invites, logistics, and execution of large Research Team engagement events
Accountable for independently coordinating team meetings including logistics, food, travel, and other arrangements
Serve as the primary point of contact for greeting and welcoming visitors arriving at the site, ensuring a professional and hospitable experience
Responsible for the management, ordering, and handling of office supplies to ensure adequate inventory at both sites
Answer phones and direct all incoming calls to the appropriate party promptly, politely, and efficiently
Serve as a welcoming point of contact for visitors arriving at the NH site and will be responsible for the management and handling of office supplies
Creating and maintaining general files and correspondence
Who You Are:
You have a High School Diploma along with 5 years of executive assistant experience required, preferably supporting senior leaders at the VP level or above.
You are or you also have:
Proactive approach to work, striving for solutions and innovation
Highly motivated toward achievement and surpassing set goals
Desire to learn and take on challenging assignments
Ability to handle multiple projects simultaneously while remaining flexible to shift priorities quickly
Experience simultaneously supporting multiple executives, including VP-level and executive leadership team members, and ability to manage their varying needs as required
Ability to excel in a fast-paced environment, sometimes under pressure, with a high level of professionalism
Ability to exercise discretion in dealing with confidential or sensitive matters
Must have excellent communication skills (verbal and written), including the ability to interact professionally with internal and external stakeholders at all levels
Excellent calendar management skills, with demonstrated experience coordinating complex schedules across multiple executives and sites
Highly organized with a strong attention to detail, clarity, accuracy, and conciseness
Highly proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and collaboration platforms such as SharePoint
Professional, welcoming demeanor with experience or comfort serving as a point of contact for visitors and representing the executive team
Experience with office supply management, purchase orders, invoice tracking, and vendor coordination preferred
Familiarity with Legal and Compliance processes, including contract management (e.g., Expert Service Agreements), is preferred

Nice to have (but not required):
Bachelor's degree in Business Administration, Communications, or a related field preferred
Experience in the pharma or biotech industry preferred; familiarity with Research and Development environments is a plus
Where You’ll Work
This role is based out of our Lebanon, NH office and requires full-time, in-person presence to support hands-on collaboration, access specialized equipment, and/or operational needs.
