Job Description
General Summary:
The Executive Assistant provides high-impact, independent administrative and operational support to the Senior Vice President of Commercial Manufacturing & Technical Operations (CMTO). Operating in a fast-paced, highly matrixed environment, this role is critical to enabling executive effectiveness through exceptional attention to detail, proactive prioritization, and disciplined execution of complex processes. The Executive Assistant acts as a trusted partner to the SVP, ensuring seamless coordination of priorities, communications, and leadership team operations across a large, cross-functional organization.
Key Duties and Responsibilities:
Serve as a strategic administrative partner to the SVP, proactively managing competing priorities, anticipating needs, and ensuring flawless execution of day-to-day operations
Own and manage a highly complex, dynamic calendar, aligning shifting business priorities, resolving scheduling conflicts, and optimizing executive time against critical CMTO objectives
Coordinate cross-functional leadership activities, including CMTO Leadership Team meetings, extended leadership team engagement, and enterprise-level interactions
Drive end-to-end meeting and operational readiness, including agenda development, pre-read coordination, executive briefing materials, note-taking, and follow-up on action items
Support CMTO operational rhythms such as talent reviews, business reviews, and planning cycles, ensuring timelines, materials, and stakeholders are aligned
Manage confidential communications and decision-support materials, maintaining the highest standards of discretion, accuracy, and professionalism
Build and maintain structured administrative processes and systems to improve efficiency, visibility, and consistency across executive workflows
Act as a central coordinator across key functions (HR, Finance, Talent Acquisition, Business Operations, etc.), ensuring alignment and follow-through on deliverables
Proactively track commitments, deadlines, and action items, following up with stakeholders at all levels to maintain momentum and remove barriers
Coordinate complex travel, logistics, and offsite planning, ensuring seamless execution with contingencies proactively addressed
Assist with onboarding of new personnel into the CMTO organization and provide guidance to less experienced administrative colleagues
Process group purchase orders, invoices, and contracts as needed, and assist with visitor registration and escort
Knowledge and Skills:
Exceptional attention to detail with a consistent track record of delivering high-quality, error-free work in high-stakes environments
Advanced prioritization and independent judgment, with the ability to assess urgency and importance and adapt quickly as priorities evolve
Process-oriented and systems-thinking mindset, with a drive to build structure, improve consistency, and enhance how work gets done
Strong business acumen with the ability to understand organizational priorities and align administrative support to business outcomes
Executive presence with advanced verbal and written communication skills, including the ability to interact effectively with senior leaders inside and outside the company
Ability to handle highly confidential and sensitive information with discretion and integrity
Strong collaboration and influencing skills, with the ability to work effectively across functions and levels to drive alignment and results
Resilience and adaptability in ambiguous, fast-moving environments with frequently shifting demands
Advanced knowledge of Microsoft Office products, including Outlook, PowerPoint, Excel, and Teams
Familiarity with enterprise systems such as Workday, SharePoint, and Concur is a plus
Experience supporting operational cadences and leadership forums in a complex, matrixed organization is preferred
Experience in Manufacturing, Technical Operations, or similarly complex operational organizations is advantageous
Education and Experience:
Bachelor's Degree and 5 years of experience providing executive-level administrative support in a complex, matrixed organization, or
Associate's Degree and 7 years of experience providing executive-level administrative support in a complex, matrixed organization, or
High School Diploma or equivalent and 9 years of experience providing executive-level administrative support in a complex, matrixed organization
Pay Range:
$89,600 - $134,400Disclosure Statement:
The range provided is based on what we believe is a reasonable estimate for the base salary pay range for this job at the time of posting. This role is eligible for an annual bonus and annual equity awards. Some roles may also be eligible for overtime pay, in accordance with federal and state requirements. Actual base salary pay will be based on a number of factors, including skills, competencies, experience, and other job-related factors permitted by law.
