The Role & Your Impact
As an Office Administrator, you will be responsible for supporting the day-to-day operations of our Japan office and ensuring a positive workplace experience for employees, visitors, and stakeholders. You will collaborate with internal teams and external vendors while contributing to projects that enhance efficiency, employee engagement, and business performance.
Key responsibilities include:
- Lead and support office administration activities to ensure efficient daily operations.
- Coordinate office facilities, equipment maintenance, supplies, and workplace improvements.
- Manage domestic and international shipments, including samples, documents, and other business materials.
- Support finance administration activities, including invoice processing and coordination with finance teams.
- Assist with IT-related administration, equipment setup, maintenance coordination, and vendor communication.
- Support company initiatives such as office renovations, digitalization projects, CSR, ESG, employee engagement programs, and company events. Welcome and assist visitors, customers, and international guests.
- Ensure compliance with company policies and administrative procedures.
- Support meetings, workshops, exhibitions, conferences, and other business events.
- Provide general administrative support to managers and employees across the organization.
What You'll Need to Be Successful
- Bachelor's degree or equivalent professional experience preferred.
- Business-level Japanese and working proficiency in English, both written and verbal.
- Strong communication and interpersonal skills.
- Ability to collaborate effectively with diverse stakeholders across functions and cultures. Proficiency in Microsoft Office applications, particularly Excel, Word, PowerPoint, and Outlook.
- Strong organizational skills and the ability to manage multiple priorities simultaneously.
- Experience working in administration, office management, coordination, or a related support function.
- Excellent problem-solving abilities and attention to detail.
Additional Skills & Interests We Value
- Experience with administrative systems, procurement processes, invoice handling, or office management tools.
- Experience supporting international workplaces or multicultural teams.
- Interest in workplace experience, employee engagement, and continuous improvement initiatives.
- Exposure to event planning, logistics coordination, or facilities management.
- Knowledge of digital workplace tools and process improvement activities.
