Senior Executive Assistant - Amgen Ohio
What you will do
Let’s do this. Let’s change the world. In this vital role reporting to the Vice President Site Operations, you will be responsible for providing senior level administrative support and managerial support for Operations staff.
- Proactively handle the executive’s calendar with a focus on efficient time utilization and time conflict management, ensuring that VP is appropriately represented at all forums
- Act as a liaison between groups under the responsibility of the executive and across Amgen
- Prepare the VP with pre-read and briefing documents in advance of daily meetings
- Organize arrangements for and execute key tasks to efficiently lead a variety of global business meetings utilizing WebEx, Microsoft Teams and Telepresence technologies
- Schedule, coordinate and supervise events reflected on VP’s engagement plan, including All Staff meetings and special events
- Coordinate domestic and international travel arrangements amidst dynamic business requirements and prepare and process expense reports
- Review, prioritize and flag high priority communications (emails and documentation)
- Coordinate more sophisticated services (i.e., large complex meeting logistics, confidentiality agreements, scientific and medical conference logistics, corporate event planning bi-monthly, quarterly or annually)
- Direct calendar management for the executive including coordination with senior staff such as the HR Site Head, Corporate Affairs Lead and Chief of Staff
- Managing invoice/POs through SAP system
- Connect with Executives (draft, format and distribute communications)
- Arrange domestic and international travel arrangements to include timely preparation and processing of expense reports
- Continuously improve the administrative services including proposed process improvement
What we expect of you

Basic Qualifications:
- Associate degree and 4 years of senior administrative experience OR
- High school diploma/GED and 6 years of senior administrative experience
Preferred Qualifications:
- 4+ years of Administrative Assistant experience supporting large teams at different levels and in different geographic locations including remote workers
- Experience handling multiple calendars including coordination across multiple time zones
- Ability to collaborate closely with cross-functional team members and effectively connect with internal and external business partners
- Excellent written, verbal, and presentation skills in communicating key business and operational information including speaking in front of medium to large groups
- Outstanding organizational, time management, project management and communication skills
- Ability to run multiple tasks, prioritize and meet deadlines
- Absolute discretion and confidentiality, as well as judgment, creativity, flexibility, and initiative in resolving issues
- Expert knowledge of computer software including SAP, Miro, Microsoft Office (Word, PowerPoint, Excel, Teams), Cisco WebEx and Smartsheet

The expected annual salary range for this role in the U.S. (excluding Puerto Rico) is posted. Actual salary will vary based on several factors including but not limited to, relevant skills, experience, and qualifications.
